Ward Registration for a Company in Nepal
Ward registration is the process of officially registering your company at the local ward office where your business is located. It is a mandatory step for local tax compliance and is required by banks, IRD, and most licensing authorities.
What Is Ward Registration?
Ward registration is the process of officially recording your company at the ward office (Ward Karyalay) of your local municipality or rural municipality where your business office is located. In Nepal's federal structure, every ward maintains a record of businesses operating within its jurisdiction for local governance, taxation, and administrative purposes.
The ward registration certificate is proof that your company is operating at a specific address within a specific local government area. It is one of the most basic but important documents for any business in Nepal.
Why Is Ward Registration Required?
Step-by-Step Process
- 1
Identify Your Correct Ward Office
Find the Ward Office (Ward Karyalay) that covers the area where your business office is located. Your ward number is part of your address — for example, 'Ward No. 28, Kathmandu Metropolitan City'. Go to the correct ward office — visiting the wrong one will result in wasted time.
- 2
Get the Application Form
Visit the ward office and obtain the business registration application form. Some ward offices provide digital forms or have online applications — ask at the office about the current process. Fill in the form with your company name, type of business, address, and owner/director details.
- 3
Submit the Required Documents
Submit the completed application form along with all required documents (see the documents list below). The ward office staff will verify your documents and may ask questions about your business activities.
- 4
Pay the Ward Registration Fee
Pay the applicable ward registration and business tax fee. The fee varies by ward and business type — it is typically a small amount ranging from a few hundred to a few thousand rupees. Get a proper receipt for your payment.
- 5
Receive the Ward Registration Certificate
After document verification and payment, the ward office issues your Ward Registration Certificate (व्यवसाय दर्ता प्रमाण-पत्र). This certificate must be renewed every year before it expires.
Required Documents
- Company Registration Certificate from OCR
- Business PAN Certificate from IRD
- Citizenship certificate of the company director/owner
- Office lease agreement (signed by landlord) — with landlord's citizenship photocopy
- Passport-sized photograph of the company representative
- Completed application form from the ward office
- MOA of the company (sometimes requested)
Annual Renewal of Ward Registration
Ward registration must be renewed every year. The renewal process is usually simpler than the initial registration — you visit the ward office, show your previous certificate, and pay the annual renewal fee. However, if your business details have changed (new address, different business activities), you must update this information at the time of renewal.
Renewal Reminder
Most ward registrations are valid for one fiscal year (Shrawan to Ashadh). Renew your ward registration at the start of each new fiscal year to keep it current. An expired ward registration may cause problems when dealing with banks or other authorities.
